About the Opportunity

Our partner is a premier, fast-growing staffing and recruitment firm specializing in the construction, warehousing, and skilled trades sectors. Established in 2016, they have rapidly expanded their footprint to include over 11 branches across New Zealand and a growing presence in Australia.


They are seeking a high ownership professional to take the lead on their weekly payroll operations. This is a senior-level role for a "strong character" who can maintain integrity and compliance while navigating a high-volume, fast-paced environment.

What you'll do

Purpose of the Role

The Senior Payroll Administrator is the engine room of the company’s weekly operations. You will take full ownership of the end-to-end payroll processing for a workforce of 600–800 New Zealand casual employees and contractors.


This isn't just data entry; it’s about being a "compliance anchor." You will manage the seamless flow of data through a highly automated tech stack, ensuring 100% accuracy and providing mature, authoritative support to the finance leads and wider team.


Key Responsibilities

1. End-to-End Payroll Execution

  • Weekly Cycles: Manage full-cycle payroll for 600–800 workers, ensuring every payment is accurate and ready for review by Thursday EOD for Friday payment.
  • Audit & Verification: Rigorously verify hours, pay rates, and site-specific details. Monitor system "flags" and warning signs to resolve discrepancies before they impact the pay run.
  • Statutory Compliance: Manage all statutory deductions (PAYE, KiwiSaver, ACC, ESCT) ensuring strict adherence to the NZ Holidays Act 2003.
  • Financial Integrity: Reconcile payroll journals and ensure seamless posting to Xero.

2. Systems & Data Mastery

  • Ecosystem Management: Maintain the integrity of the Karmly-to-PayHero data pipeline. Ensure timesheet data flows correctly from Karmly into PayHero for processing.
  • Tech Stack: Navigate and maintain data across JobAdder, OnBoarded, Karmly, PayHero, and Xero.
  • Triage: Proactively identify and resolve discrepancies between platforms, working with providers to improve automation.

3. Stakeholder Excellence & Ownership

  • Act as the "go-to" authority for payroll queries. You must have the confidence to be firm with internal staff regarding deadlines and compliance standards.
  • Maintain exceptional responsiveness. You are expected to provide proactive updates and take total accountability for your desk.
  • Work closely with the Finance Controller and Finance Manager. (Note: This role will transition to report to the new Invoicing Lead starting mid-June).

What Success Looks Like (KPIs)

  • Absolute Compliance: 100% adherence to NZ legislation and IRD Payday Filing requirements.
  • Operational Excellence: Consistent reduction in manual corrections and "catch-up" pays through superior pre-processing audits.
  • Data Integrity: A seamless, error-free sync between Karmly and PayHero.

What we're looking for

  • 5+ years of solid NZ payroll experience with a background in Labor Hire or Recruitment.
  • A deep, functional understanding of the Holidays Act 2003 (specifically casual worker entitlements).
  • Proven experience with PayHero and Karmly is highly preferred.
  • Proficiency in Xero and JobAdder is a significant plus.
  • A mature, responsible "strong character" who prioritizes accuracy over speed.
  • Comfortable working 100% aligned with NZ Business Hours.
  • Exceptional verbal and written communication skills, with the ability to articulate ideas clearly and collaborate effectively across distributed teams.
  • A self-starter mindset with high initiative, capable of anticipating challenges, proposing solutions, and managing tasks independently without constant supervision.
  • Proven ability to thrive in a remote setting, demonstrating strong self-discipline, time management, and reliable connectivity to meet deadlines and maintain team alignment.
